Solutions Clinics & private practices
The WhatsApp inbox for clinics and practices.
Patients book, reschedule and ask about results on WhatsApp, usually on whatever phone the front desk keeps by the till. A shared inbox lets the whole desk work it — with a plain statement below about what this is not.
Sound familiar?
What this looks like today
- 1
The front desk phone is the bottleneck
One person, one handset, and a queue of people in the waiting room who also need attention. Messages wait because there is nowhere else for them to go.
- 2
Rescheduling eats the morning
Half the traffic is moving an appointment. Each one is a short exchange that still takes somebody’s full attention to complete.
- 3
Messages arrive when you are closed
Evening and weekend messages are invisible until Monday, and the patient who did not hear back booked somewhere else.
- 4
Sensitive threads sit in a shared list
Sharing the number means sharing everything on it — which is exactly why nobody shares it, and why it stays on one phone.
What changes
One inbox, and a record that stays.
The whole desk, one queue
Reception, the practice manager and whoever is covering all see the same list, with an owner on each conversation so two people do not answer the same patient.
Private chats stay private
Mark a conversation private and it leaves the shared floor entirely — only its owner sees it. Access labels do the same job at team level.
Reminders written now, sent in the morning
Compose tomorrow’s confirmations at the end of today and schedule them for an hour a patient will welcome them.
Saved replies for directions and prep
Parking, fasting instructions, what to bring — answered identically every time, without retyping.
A day in the inbox
Monday, 08:05
Fourteen messages from the weekend. Reception works the queue with a second person covering, reschedules six from saved replies, and marks one thread private so it stays with the practitioner who owns it. Confirmations for tomorrow are written at five and scheduled for eight.
The conversation below is illustrative — it is the real product interface, with an example thread in it.

Questions
Clinics & private practices — questions
Is this HIPAA compliant?
No, and we will not pretend otherwise. We are not HIPAA-certified and there is no BAA today. Conversations are encrypted in transit and held in workspace-scoped storage with restricted access, but if your compliance requirements demand a covered service, this is not it. Tell us before you trial and we will be straight with you about where we stand.
Is this a patient records system?
No. It is a shared inbox for the conversations that already happen on WhatsApp. It does not replace your practice management or EHR software and does not try to.
Can we keep some conversations off the shared list?
Yes. A private chat is visible only to its owner, and access labels decide who sees which of the rest. Patient numbers can also be masked from staff who do not need them, on Pro.
