Why it exists

The CRM is the system of record, and WhatsApp is the blind spot in it

Everything else a customer does is on their record. Calls are logged, emails are threaded, meetings are on the timeline — and then the conversation that actually closed the business happened on WhatsApp, on a phone, and the CRM shows a gap where the important part was. Sales managers end up asking people what was said, which is the same as not knowing.

The usual fix is a Zapier chain that creates a note, and it breaks on the first phone number. A CRM stores “+1 (555) 010-0000” and WhatsApp stores “15550100000”; comparing those two strings finds nothing, so the note lands on a new duplicate contact instead of the real one. Matching on digits — and on the tail of the number, so a country code on one side does not break it — is the difference between a connector that works and one people quietly turn off.

Matched by number, not by luck

We compare digits rather than formatting, and the last digits rather than the whole string, so a contact stored with a country code still matches one stored without. If more than one candidate comes back, an exact digit match wins over the first result.

HubSpot gets a real communication

Messages are logged as HubSpot’s native Communication object with the WhatsApp channel — not as a note. It renders in the activity feed with a direction, and reports can count it.

Pipedrive gets a note, deliberately

Pipedrive has no message object. The alternative was an Activity, and integrations that use those create thousands of auto-completed activities that ruin the customer’s activity reports. A note carries the text and distorts nothing.

Deals mirrored, not duplicated

A deal is created once and every later edit updates that same record, so moving a deal through your stages five times does not leave five deals behind. Off by default — a pipeline is opinionated.

WhatsApp inside HubSpot

HubSpot draws a card on the contact record showing the recent WhatsApp messages, so somebody living in the CRM all day never has to leave it to see the thread.

Private chats and notes cannot leave

A connection reads at workspace visibility, which excludes any chat marked private. Internal notes never sync either — the compose box promised the customer would not see them, and a CRM your staff read daily is not an exception.

Which CRMs are supported natively?

HubSpot and Pipedrive. Anything else — Salesforce, Zoho, monday.com — goes through webhooks or a Zapier step rather than a native connector. If a native connector for your CRM is the buying requirement, say so before you trial rather than after.

Does it sync both ways?

It writes into your CRM; it does not pull records back out. The one thing travelling the other way is the card HubSpot draws on a contact, which reads recent WhatsApp messages from us.

Will private conversations end up in my CRM?

No, and not as a setting you could get wrong. The sync can only reach conversations at workspace visibility, so a chat somebody marked private is not something it is able to read.

Do my team’s internal notes go across?

Never. A note is checked before anything else and stops there. It was written on the promise that the customer would not see it, and a note sitting in a system your staff read every day is not a promise kept.

Can I sync only some conversations?

Yes. Filter by label so only the ones you choose reach the CRM, and optionally restrict it to incoming messages only.

Which plan is this on?

Pro, and only an owner or an admin can connect it — a connection forwards conversations at workspace scope, which is wider than any one member can see on their own.
