Product Contact directory

One address book, across every number.

The same buyer saved as “Maria — Bogotá” on one line and “Maria G (Andes)” on another is a single contact here, carrying both names, every thread, and everything your team has learned about her.

Why it exists

The customer is not the phone number

Connect three WhatsApp numbers and a mailbox and the same buyer shows up four times, under four names four people typed on four different days. Ask whether anyone has spoken to this company before and the honest answer is that nobody can tell.

A contact here is a handle, deduped once, carrying every name it has been saved under and every conversation it appears in. What your team knows about that person — who owns them, which company they are, the note about the last order going out short — hangs off the contact rather than off a chat that scrolls away.

What you get

In the product today.

Deduped across accounts

One number saved under different names in different WhatsApp accounts appears as one contact with both names and a chip for each source. Email addresses land in the same directory.

An owner and a company

Both are proper indexed fields rather than labels, so “everything Dana owns” and “everyone at Andes Foods” are each a single filter.

Notes that outlive the chat

The things a rep knows and nobody else does — pays late, wants the Spanish-speaking driver, the decision actually goes through her brother. Written on the person, readable by the team.

An activity timeline

Deals, follow-ups, notes and the threads they came from, in one dated list. The answer to “what happened with this customer” without opening three conversations.

Segments you would actually ask for

Not contacted in 30, 60 or 90 days. Never replied. Most active. Mine. Has an open deal. Follow-up due.

Bulk actions and CSV enrichment

Set an owner, add a label or schedule a follow-up over a selection. Import a CSV to fill in companies and names — dry run first, blanks only, and it creates nobody unless you ask it to.

When you would use it

Situations this is for

  • A buyer messages from a second number and nobody realises it is the same company.
  • A rep leaves and their accounts have to be handed to someone who has never spoken to them.
  • You want the eighty customers who have not heard from anyone since the spring.

Questions

Contact directory — questions

Can every agent see every contact?

No, and this is the part we were most careful with. A member sees the contacts they own plus the ones whose conversations they can already open — the directory grants no access their inbox did not already give them. Admins see the whole book.

What about number masking?

It is honoured here too. A workspace that hides customer phone numbers from agents does not quietly hand them back through the address book.

Can I get my contacts out?

Yes — export your contacts, or export everything, from Settings. There is a delete-everything option beside it, and both are meant to be used.

Does the CSV import create new people?

Only if you tell it to. By default it matches on the phone number and fills blanks on contacts you already have. Every import runs as a dry run first, so you see exactly what it would change before it changes anything.

Stop running your best channel off a phone in a drawer.

Connect your first number in five minutes. Keep the number, keep the history, and finally see the whole thing.
